We are seeking a highly organized and detail-oriented Events & Meeting Coordinator to support the planning and execution of meetings and events across Acumetis. This role will work closely with internal teams and external partners to coordinate logistics, manage event administration, and help ensure a seamless participant experience.
This role is responsible for delivering seamless, high-quality events and meeting execution, managing logistics with precision, and coordinating across multiple service lines, including Medical Affairs, Commercial, Patient Access and Support Services (PASS), Global Values Access (GVA) and Insights.
The ideal candidate brings strong project coordination skills, exceptional attention to detail, and the ability to manage multiple concurrent workstreams in a fast-paced environment.
Key Responsibilities
Event & Meeting Planning and Execution
Support the planning and execution of in-person, virtual, and hybrid meetings, including advisory boards, client engagements, and internal meetings
Assist in maintaining project timelines, meeting plans, and event documentation
Support budget tracking and project administration activities
Coordinate logistics including venue sourcing, travel arrangements, materials preparation, and technology platforms
Provide on-site and virtual meeting support as required
Support engagement activities with Key Opinion Leaders and other participants

Engage with Key Opinion Leaders
Cross-Service Line Coordination
Partner with project teams across multiple service lines to align on meeting objectives, deliverables, and timelines

Assist in tracking deliverables and ensuring information is communicated effectively across teams
Prioritize multiple assignments while maintaining attention to detail
Detail Management & Operational Oversight
Maintain accurate tracking of timelines, deliverables, and event documentation
Assist with budget monitoring and compliance-related documentation
Ensure accuracy across all meeting components, including agendas, communications, attendee lists, and materials
Oversee registration processes, invitations, reminders, and participant communication
Stakeholder & Vendor Coordination
Support communication with internal teams, healthcare professionals, and external vendors
Assist with vendor coordination, contracts, and payment processing
Maintain clear and timely communication across all stakeholders
Post-Meeting Activities
Support post-meeting reconciliation, expense tracking, and reporting
Assist with meeting follow-up communications and documentation
Contribute ideas to enhance event coordination processes and efficiency
Ensure timely completion of follow-up communications and documentation
Qualifications & Experience
Bachelor’s degree in a relevant field; and experience in health sciences
1–3 years of experience in event planning, meeting coordination, administrative support, or project coordination. Experience within healthcare, life sciences, consulting, or professional services is considered an asse
Experience supporting event logistics and coordinating multiple tasks simultaneously
Excellent organizational and time management skills with the ability to manage multiple priorities simultaneously
Strong written and verbal communication skills
Proficiency in Microsoft Office, particularly PowerPoint, Word, and Excel.
